Email Templates in Gmail – How to

Email templates provides a customization of the emails being sent out. Apart from the graphics part, a well formatted email with clear mix of color and fonts, reflects the overall personality of the company.

Most of the companies make use of Gmail, as their default email application. And as we are writing this post, many more are signing up for this email service. Often we have seen that while using Gmail, there rises a need for incorporating templates (as companies’ letterhead) into the email. This was not possible until, Google introduced the “Google Canned responses”. With Google Canned Responses, you can answer set auto-responders. Wherein you define the response once, and have it sent to many people just with few mouse clicks. Some people used it for more then just auto responding.

The question is what we do, when we want to compose custom company letterhead design. This was the problem asked by our clients. And we at Imagine Works, solved this problem with simplicity and creativity.
The solution to this problem lied in the ‘Signature’ feature of Gmail. It is an WYSIWYG editor, which enables to create well formatted text.

Here is the complete solution -

Step 1 – Log into Gmail - http://mail.google.com. Go to the ‘Mail settings’, in the right hand top corner.

 

Step 2 - In the ‘Mail settings’, click on the ‘Labs’ tab.

 

Step 3 – Search in the ‘Search for a tab’ box for ‘Signature tweaks’. Enable this ‘Lab’ feature. Click on ‘Save Changes’ at the bottom.

 

Step 4 - Now, once again to to the ‘Mail Settings’ in Gmail.

 

Step 5 – This time click the ‘General’ tab.

 

Step 6 – Scroll down this page to view the ‘Signature’ section. Select the choice that represents a text box.

 

Step 7.1 – In this text editor, create a header by putting images, text, formatted text etc., as shown below, by using the available tools.

 

Step 7.2 – Leave some gap (by pressing the enter/return key on the keyboard), and enter the closing/footer of the mail, as shown below.

 

Step 8 – Save the changes made.

 

Step 9 – Click on the compose mail in the main ‘Gmail’ window.

 

Step 10 – The template that was created reflects in the email body. You can start typing the message in the (space/gap), marked in the image by ‘<start typing here>’.

 

This was just out of the experience that taught us to do “something useful” from “something available”.
